Position Summary
Muschlitz Excavating is seeking a Payroll & Reporting Coordinator to support payroll operations for our growing construction organization. This role is responsible for the accurate and timely processing of weekly payroll, payroll reporting, reconciliations, audits, and employee support. The position serves as a key liaison between Human Resources, Accounting, field operations, and employees. In addition to payroll administration, the role requires strong Excel and analytical skills to validate data, identify discrepancies, perform reconciliations, and produce meaningful payroll reports.Key Responsibilities
- Process weekly payroll accurately and on schedule.
- Import, review, validate, and reconcile payroll data from multiple sources.
- Audit earnings, deductions, benefits, garnishments, and timekeeping records.
- Research and resolve payroll discrepancies and employee inquiries.
- Prepare, analyze, and distribute payroll reports using Microsoft Excel.
- Perform payroll reconciliations and support internal and external audits.
- Maintain payroll records in accordance with company policies and regulatory requirements.
- Coordinate payroll activities with Human Resources, Accounting, supervisors, and field personnel.
- Support year-end payroll processing and reporting requirements.
- Assist with payroll process improvements and system enhancements.
- Maintain strict confidentiality of employee and payroll information.
- Perform other related duties as assigned.
Qualifications
Required Qualifications- 2+ years of full-cycle payroll processing experience.
- Experience processing payroll from start to finish.
- Advanced Microsoft Excel skills, including formulas, lookups, sorting, filtering, data validation, and reporting.
- Strong analytical, auditing, and reconciliation abilities.
- Ability to investigate and resolve payroll issues independently.
- Excellent attention to detail, organization, and time-management skills.
- Strong verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Customer-service mindset and ability to work effectively with employees at all levels.
- Construction industry payroll experience.
- Prevailing wage and certified payroll reporting experience.
- Multi-state payroll experience.
- Experience with payroll imports, reporting tools, or payroll system administration.
- Experience with Foundation Software, HRHQ Suite, WorkMax, and/or B2W.
Work Environment & Physical Requirements
Work is primarily performed in an office environment, with occasional visits to shop, yard, warehouse, and construction operations. The position requires the ability to sit, stand, walk, use a computer for extended periods, occasionally lift up to 20 pounds, and perform the essential functions of the role with or without reasonable accommodation.Benefits
